Terms and Conditions of Entry

Pelican Plate  – Long Reef Golf Club - 26th June 2026

By entering the tournament, each player acknowledges and agrees to the following Terms and Conditions.

1. Entry and Eligibility

Entry into the tournament is open to invited players, registered participants, sponsors, guests, and approved entrants of the organiser.

All players must comply with the rules, policies, dress standards, and directions of Long Reef Golf Club, tournament organisers, club staff, starters, marshals, and event officials.

The organiser reserves the right to refuse entry or remove any player from the tournament for misconduct, non-payment, failure to comply with club rules, or behaviour that may affect the safety or enjoyment of others.

2. Payment and Confirmation

A player’s entry is only confirmed once full payment has been received by the organiser, unless otherwise agreed in writing.

Entry fees include golf, competition entry, post round lunch, house beer and wine (until allocation is exhausted) prizes, or other inclusions as specified by the organiser. Any additional purchases made on the day remain the responsibility of the player.

3. Cancellations and Refunds

Players who wish to cancel their entry must notify the organiser in writing.

Refunds will be handled as follows:

  • More than 14 days before the event: full refund, less any non-refundable booking or administration fees.

  • 7 to 14 days before the event: 50% refund.

  • Less than 7 days before the event: no refund, unless a replacement player is approved by the organiser.

  • No-shows on the day: no refund.

The organiser may allow a player to transfer their entry to another person, provided the organiser is notified before the event and the replacement player is approved.

Refunds will not be provided for late arrival, failure to complete the round, disqualification, removal from the event, change of personal circumstances, or failure to comply with club or tournament rules.

4. Prizes

Prize allocations will vary depending on the quantity of entrants. However, the minimum 1st prize allocation will be $3000 AUD. 

Prize categories will be determined by the organiser. These may include overall winners, runners-up, nearest the pin, longest drive, straightest drive, novelty prizes, raffles, or sponsor prizes, at the organisers discretion. 

The organiser reserves the right to amend prize categories, substitute prizes, or withhold prizes in the event of scoring issues, misconduct, or breach of these Terms and Conditions.

Prizes are not transferable or redeemable for cash unless stated otherwise.

All cash prizes, regardless of category, will be allocated to the MEMBERS SUBSCRIPTION ACCOUNT by Long Reef Golf Club. 

5. Wet Weather Policy

The tournament will proceed unless Long Reef Golf Club, the tournament organiser, or relevant event officials determine that the course is closed, unsafe, or unsuitable for play.

Players must not assume the event is cancelled due to rain. Unless otherwise notified, all players must attend as scheduled.

In the event of wet weather, the following policy applies:

  • If the course remains open and play is permitted, the tournament will proceed.

  • If play is delayed, players must follow instructions from club staff and tournament officials.

  • If play is suspended due to lightning, dangerous weather, course conditions, or safety concerns, players must stop play immediately and follow official directions.

  • If the course is closed before play begins, the organiser will attempt to reschedule the event or provide an appropriate credit, subject to the terms agreed with Long Reef Golf Club.

  • If the event begins but is later abandoned, the result may stand if enough holes have been completed, as determined by the organiser.

  • Refunds for weather-affected events are not guaranteed and will depend on the club’s own cancellation, credit, and booking policies.

Where possible, the organiser will act reasonably to reschedule the event, issue a credit, or provide an alternative arrangement. However, the organiser is not liable for losses relating to travel, accommodation, time off work, or other personal expenses.

6. Format and Rules of Play

The tournament will be played in the format advised by the organiser before the start of play.

All play is subject to:

  • The Rules of Golf;

  • Long Reef Golf Club’s Local Rules;

  • Any temporary local rules in place on the day;

  • The tournament format and conditions issued by the organiser.

The organiser reserves the right to alter the tournament format, starting method, tee times, groupings, scoring method, prize categories, or competition conditions if required.

All decisions made by the tournament organiser, in consultation with Long Reef Golf Club where necessary, are final.

7. Handicaps and Scoring

Players must provide accurate handicap information at the time of registration. 

The organiser will adjust handicaps, or scoring allowances to suit the tournament format.

Scorecards must be completed accurately, signed where required, and returned immediately after play. Failure to return a completed scorecard may result in disqualification or exclusion from prizes.

Ties will be decided by playoff, at the organisers direction. 

8. Pace of Play

All players must maintain an acceptable pace of play and keep up with the group in front.

Players must move promptly between shots, be ready to play when it is their turn, and follow any pace-of-play directions from club staff, marshals, or organisers.

The organiser may introduce a maximum score per hole, pick-up rule, or other pace-of-play measures to ensure the event runs on time.

9. Dress Code and Conduct

Players must comply with Long Reef Golf Club’s dress code and clubhouse standards.

Players must conduct themselves respectfully toward other players, club members, guests, staff, volunteers, and organisers.

The following behaviour may result in removal from the tournament without refund:

  • Abusive, offensive, or aggressive behaviour;

  • Excessive intoxication;

  • Dangerous play;

  • Damage to the course, clubhouse, carts, or property;

  • Failure to follow staff or organiser instructions;

  • Cheating or deliberate breach of competition rules.

10. Golf Carts and Equipment

Where golf carts are provided or hired, players use them at their own risk and must comply with all cart rules and directions from Long Reef Golf Club.

Players are responsible for any damage caused by misuse of carts, hire equipment, club property, or course facilities.

The organiser is not responsible for loss, theft, or damage to personal belongings, golf clubs, equipment, or valuables.

11. Alcohol and Responsible Service

Alcohol consumption is subject to the rules and licensing obligations of Long Reef Golf Club.

Players must comply with responsible service of alcohol requirements. Club staff reserve the right to refuse service to any person.

Players must not bring unauthorised alcohol onto the course or into the clubhouse unless expressly permitted by the club.

12. Health, Safety and Assumption of Risk

Golf involves inherent risks, including injury from golf balls, clubs, carts, uneven ground, weather, wildlife, and other course hazards.

By entering the tournament, players acknowledge these risks and agree to participate at their own risk.

Players are responsible for ensuring they are physically fit and able to participate. Any player with a medical condition should take appropriate precautions and notify the organiser if relevant.

The organiser, sponsors, volunteers, and event representatives are not liable for personal injury, loss, damage, or expense except where liability cannot be excluded by law.

13. Photography and Media

By entering the tournament, players consent to being photographed or filmed during the event.

The organiser may use images, video, names, scores, and event results for promotional, marketing, social media, sponsor, or reporting purposes.

Players who do not wish to be photographed should notify the organiser in writing before the event.

14. Changes to the Event

The organiser may change event details where reasonably necessary, including:

  • Date;

  • Start time;

  • Format;

  • Number of holes;

  • Tee allocations;

  • Groupings;

  • Catering arrangements;

  • Prize structure;

  • Wet weather arrangements.

The organiser will make reasonable efforts to notify players of material changes as soon as practical.

15. Privacy

Personal information collected for the tournament will be used for event administration, communication, scoring, catering, safety, and related purposes.

Player information may be shared with Long Reef Golf Club, event partners, sponsors, or service providers where necessary for the running of the event.

 

16. Acceptance

By registering, paying, attending, or participating in the tournament, each player confirms they have read, understood, and agreed to these Terms and Conditions.
